AFAS Implementation
You want to implement AFAS software in your organization. Such a change can be quite exciting. That’s why we are here to help you. We work together as partners. Together, we ensure thorough preparation before starting a project. Our Consultants will guide you through this process. They know all the ins and outs of AFAS and listen carefully to your needs, whether they are for Finance, Payroll, HRM, ERP or Projects. They also make sure that the users in your organization understand the software and are able to work with it. This way, we achieve a successful implementation together.
How do we do this?
During an AFAS implementation, an organization follows a structured process tooptimally configure the AFAS software and integrate it into the business processes. The main steps and activities are:
1. Preparation and Analysis
Clear objectives and requirements are established: which processes need improvement, what data is needed, and which departments are involved.
A projectteam is assembled with representatives from relevant departments, often consisting of a steering committee, project management, and working groups for each AFAS module (such as HRM, Payroll, Finance).
Currentprocesses are analyzed and compared to AFAS’s standard capabilities to avoidinefficiencies.
2. Configuration Plan and Kick-off
During the kick-off, deviations from standard processes and specific requirements are discussed and recorded in a configuration plan that serves as a guide for the entire process. The projectplan is often managed in a project tool (such as SIMPLR), making all steps, tasks, and progress transparent.
3. Realization and Configuration
The AFAS environment is set up based on the organization’s needs. Custom components are added where necessary, and processes are automated and streamlined. Consultants guide the configuration and actively contribute to process improvements.
4. Training and Acceptance
Employees and key users are trained to work with the system, often through workshops and hands-on sessions .In the acceptance phase, end users test the system in practice and provide feedback, allowing for any necessary adjustments to be made.
5. Go-live
After successful acceptance, the go-live takes place: the system is put into use, often following a final data conversion and a check to ensure all users are ready. This moment is often celebrated together with the project team.
6. Aftercare and Optimization
After go-live, support is available for questions and issues, and any remaining optimization points are addressed. Regular evaluations and updates ensure that the software continues to meet the organization’s needs.
Key Success Factors:
- Active involvement of employees and stakeholders at all levels.
- Clear communication and creating support within the organization.
- Testing and feedback rounds to prevent errors and increase satisfaction.
- Choosing a certified implementation partner with industry experience and a structured approach.
Insummary: An AFAS implementation is a carefully managed process in which processes are analyzed, the system is configured, employees are trained, and extensive aftercare is provided to ensure a successful and sustainable transition to AFAS.
AFAS Management
You’ve implemented and are using AFAS software, but that is only the beginning. Managing it takes up too much of your time, or you don’t have a functional administrator in-house. Fortunately, you can confidently hand over this management to our consultants or receive support from our Service Team. They have the right expertise to manage your AFAS environment properly, ensuring everything runs smoothly. Our consultants act as your remote colleagues, allowing you to focuson other important matters. We make sure that AFAS software continues to perform optimally within your organization.
AFAS Optimization
You are using AFAS software and want to get even more out of it. Perhaps because there are new features you’d like to use, you think certain processes can be made more efficient, or you want to stay ahead in innovation. We are happy to help. Together, we will assess your needs and determine how to shape the optimization. This can be done as a project, but that’s not always necessary — it depends on the complexity of the optimization. Together, we ensure that AFAS software is utilized to its full potential within your organization.
